How to send communications to vendors

During the RFQ period, you can send communications to quoting vendors within an RFQ. Communications can be sent to vendors by selecting the following options: - 


  • Notice to all Tenderers  (Use this option to send out a general update to all tenderers)
  • Addendum  (Use this option to send out a formal update to the RFQ, including the distribution of new and/or updated documents)
  • Direct Message (Use this option to send private communications to individual vendors)


To send a notice to tenderers:


  1. Navigate to the Requests for Quotation tab from your Dashboard
  2. Click on the relevant RFQ
  3. Navigate to the Communications tab 
  4. Click the Blue New Message button
  5. Select Notice to all Tenderers
  6. Complete the Message Title, Reference Number (Optional) and Message Body
  7. Click the Orange Send button  


Note: You can only send an addendum when the RFQ Status is Open


To send an addendum:


  1. Navigate to the Requests for Quotation tab from your Dashboard
  2. Click on the relevant RFQ
  3. Navigate to the Communications tab 
  4. Click the Blue New Message button
  5. Select Addendum 
  6. Complete the Message Title, Reference Number (Optional) and Message Body
  7. Upload any relevant documentation 
  8. Click the Orange Send button 


To send a direct message:  


  1. Navigate to the Requests for Quotation tab from your Dashboard
  2. Click on the relevant RFQ
  3. Navigate to the Communications tab 
  4. Click the Blue New Message button
  5. Select Direct Message 
  6. Click on the Select Vendors search field and select the vendor/s you'd like to message 
  7. Complete the Message Title, Reference Number (Optional) and Message Body
  8. Upload any relevant documentation 
  9. Click the Orange Send button
