Five ( 5 ) types of RFQ messages and how to use them
Sometimes an organisation will issue updates or notices about an RFQ. To do this the organisation will send a message using the communications feature within an RFQ in Felix.
There are five (5) types of messages that can be sent and/or received in an RFQ.

Addendum
An Addendum is an additional piece of important information added to or changing the RFQ. It may have an effect on how you as a vendor will respond to the RFQ and as such requires an acknowledgement that you have seen it.
- Addendums are delivered to all vendors on the RFQ that have not Declined to quote.
- Addendums will show up in the Noticeboard section of your dashboard/homepage in Felix.
- An Addendum may include the following:
- A title, reference number and message body
- New or revised documents
- A new pricing schedule version
- You will be prompted to "Acknowledge" the Addendum to inform the client that you have seen it in order for them to keep their RFQ to schedule.
- You can submit an RFI in response to an Addendum
Notice to Tenderers
A Notice to Tenderers is a message sent by the issuing organisation to all vendors who have received an RFQ. Notices are intended to be informative messages and hence do not require an acknowledgement.

Request for Information ("RFI")
A Request for Information is a message that you are able to send to an organisation in response to an Addendum, Notice to Tenderers, or a post tender request. An RFI can be used to clarify details regarding the issued Addendum, Notice or Request.
- RFI's you send are delivered to the client only and are NOT shared with other vendors on the RFQ.
- You can only initiate an RFI in response to an Addendum, Notice to Tenderers, or post tender request; you cannot initiate one otherwise. Use a Direct Message (see below) if you need information from the client.
- An organisation can respond to your RFI directly, or they may choose put out an Addendum or Notice To Tenderers to address any issues within the RFQ that benefit all vendors/bidders.
- For RFIs on post tender requests an organisation can respond to your RFI directly, or they may choose to issue a new post tender request to you instead.
Direct message
A direct message is a private message that can be sent by an organisation to a single vendor, or a group of vendors. This may be used to request an action of you where an organisation user has identified an error in your submission, or requires further clarification on your submission.
- Vendors can also initiate direct messages to a client.
- Direct messages and their replies are private between you (the vendor) and the client (they are NOT visible to other vendors on the RFQ).
Post tender request
A post tender request is a private request that can be sent by an organisation to a single vendor, or a group of vendors. It is only available on Closed RFQs, typically during the shortlisting, evaluation and negotiation stage of a tender.
This may be used to request additional comments, documentation, or to request revised pricing - in order for the client to progress to a preferred bidder and contracting.
- Post tender requests are delivered to selected vendors only.
- Post tender requests will show up in the Noticeboard section of your dashboard/homepage in Felix.
- A post tender request may include the following:
- A title, reference number and message body
- New documents
- A post tender request may include a request for revised pricing, which will be visible on the Response tab of the RFQ.
- You won't be prompted to "Acknowledge" the post tender request however the client will see your response status based on the actions you take on the Response tab.
